Procedure for Requests relating to Personal Information

1. Steps in making a Request

To make a request relating to personal information, and to ensure the protection of personal information and the accuracy of information, you should first download and fill out the prescribed request form (item 1 below). Forward the completed form together with proof of your identity (item 2 below) to the Inquiries Office listed below. Please make inquiries about consultations and complaints regarding requests to Inquiries Office listed below. Requests relating to your personal information may be made by you in person or by your representative. In addition to the materials detailed in items 1 and 2 below, requests made by a representative should also be accompanied by the relevant documentation detailed in items 3, 4 and 5 below.

Requests for the disclosure of retained personal data and requests for the notification of the intended use of retained personal data attract a processing fee, as detailed in paragraph 2 below. Requests for the correction, addition or deletion of personal information, and requests for the cessation of use, purge, or cessation of disclosure to third parties of personal information do not attract a processing fee.

Before making inquiries, please read "Handling of Personal Information Provided in Inquiries" and agree to it.

2.Processing fee for requests for the disclosure or notification of intended use of personal information

Requests for the disclosure of personal information and requests for the notification of the intended use of personal information attract a processing fee of 800 yen per request. In addition to the materials detailed in items 1 above, please enclose 800 yen in stamps when making such requests.

3.Method of response

Requests received by the Inquires Office will be answered in writing.

4.Use of personal information provided in conjunction with requests

Personal information provided to Fuji Electric in conjunction with or as part of a request relating to personal information will be used only to the extent necessary, and following the response, this information will be managed and/or deleted in an appropriate manner. Please be aware that any documents provided will not be returned.

5.Security control measures for retained personal data

In accordance with ”Fuji Electric Privacy Policy”, we shall establish and operate a personal information protection management system in conformity with JIS Q 15001 and the Privacy Mark system. Depending on the personal information protection risk of personal information handled, we shall take the following appropriate measures to protect personal information including prevention against leakage, loss, or damage.

(1)Organizational security control measures

  • We develop an organizational structure.

  • We develop regulations and operate in accordance with their contents.

  • We maintain, evaluate, review and improve the personal information management ledger.

  • We evaluate, review and improve the safety management measures of personal information.

  • We deal with incidents, accidents or violations.

(2)Personnel security control measures

  • We conduct education and training for employees.

(3)Physical security control measures

  • We stipulate the necessary matters regarding the management of entry and exit to the facilities used by our company, and strive to protect personal information and ensure safety.

  • Documents containing personal information are stored in a locked location.

  • We protect against threats to equipment and devices that handle personal information.

(4)Technical security control measures

  • We implement access control to personal information and information systems that handle it, countermeasures against unauthorized software, and monitoring of information systems.

(5)Understanding the external environment

  • We implement the necessary security control measures (1) to (4) above after understanding the systems related to the protection of personal information in the countries where our overseas bases and overseas group companies that handle personal information are located.

6.Other

(1)Requests relating to personal information may be denied in certain cases. Fuji Electric will notify you and provide a reason in the event that your request is denied. Please be aware that the processing fee cannot be returned in the event that requests for the disclosure of personal information or requests for the notification of the intended use of personal information are denied. Requests may be denied in the following cases:
1)When Fuji Electric is unable to confirm that the person making the request relating to personal information is the individual to whom the information pertains;
2)When the documentation provided is incomplete or otherwise inadequate;
3)When it is determined that fulfilling the request may put your life or the lives of other parties in danger, cause injury or suffering to you or other parties, cause damage or loss to property, or adversely affect any other rights or interests;
4)When it is determined that fulfilling the request may significantly hinder the appropriate execution of Fuji Electric' business and other activities;
5)When it would contravene any laws, regulations, ordinances or other legal requirements.

(2)The procedures and methods by which Fuji Electric discloses or otherwise handles personal information are subject to change in accordance with relevant laws, guidelines issued by Personal Information Protection Commission, and other appropriate reasons for review.
